Following is a brief explanation of what each committee does. Refer to Article III of the Bylaws for job responsibilities.
AUDIO/VIDEO/PHOTOGRAPHY/WEB - This Team will assist its managers in keeping a video file of all events of the band. This includes, but is not limited to practices, camps, trips, concerts, exhibitions, football games, shows, etc. They will video all performances of the band to be shown to the band after each event. Selected footage of all the events will be consolidated into DVD's for band students to purchase at the end of each school year. They will also be responsible for helping to provide pictures for the web site. This committee will also be responsible for recording a music C.D. of the show for the students to purchase.AWARDS - This Team will assist its managers and the Band Director in setting guidelines for the awards system and procedures. All awards will be issued in a timely manner. Band letters and bars will be given for each year’s membership in the band. The Band Boosters’ Treasury will pay the expenses for these awards.
CHAPERONE - The managers will be responsible for maintaining an approved, up-to-date list of all chaperones. Chaperones will adhere to guidelines as set by the Band Director. The managers will arrange chaperones for football games, trips and other events as directed by the Band Director. The managers will assign the bus captains, radios, and bus book bags for away events. They will also make sure that the bus book bags contain the necessary items. The managers will have a meeting with the band camp chaperones prior to leaving for band camp. The managers will publish a Chaperones Handbook. The managers will also provide a Chaperone Information Sheet as needed for events. The chaperone managers will work closely with the Band Director(s).
CONCESSIONS - This Team will assist its managers with providing and securing staffed concessions for music, band festivals, exhibitions, and special events held on campus at John McEachern High School.
CONSERVATORY - This Team will assist its managers in organizing the conservatory. This includes contacting music instructors and getting their commitment to teach, making the lesson schedules, and communicating information with local middle school band director’s information concerning the conservatory in order to inform their students. The Team is also responsible for collecting the payments for the lessons. A Team member is responsible for being in the band room on the days payment is due.
FIELD CREW - This team will assist the band in getting on the field. This will include, but is not limited to, helping with the Front Ensemble,placement of Drum Major stands, ladders and sound equipment. They will also work closely with the Prop Project Team.
HOSPITALITY/FOOD - This Team will assist its managers with providing and securing staffed, catered concessions for band students during McEachern campus band camp, Saturday practices, Judges and Directors hospitality for band festivals.
MEMBERSHIP - This Team will assist its managers in being responsible for registration of all new members, accurate accounting of all monies received, and issuance of membership cards. It will be the responsibility of the Executive Board to encourage the registration of all band members and parents.
PROPS - The Team and its managers are responsible for working with the Band Director and his staff in the design, construction, and transportation, care of, storage and display of all props. The manager is responsible for enlisting and training adequate personnel to efeectively implement puyying the show on the road. The team must coordinate with the Transportation Team.
PUBLICITY - This Team will assist its managers in promoting the activities of the band, by advertising at radio stations, cable news, etc., submitting noteworthy band news and photographs to the local newspapers during football season, competitions, and at other important events. No published information for sales will appear in any local newspapers. All publication concerning the band will be approved the Executive Board prior to submission for publication. The Team will be responsible for establishing a high visibility for the band in community functions.
SPIRIT - This Team will assist its managers with the spirit-related items of the band (hats, shirts, bags, etc.). They will also be responsible for acquiring and selling these materials. All items for sale will be with the approval of the Band Director(s).
SOCIAL - This Team will be responsible for the planning and execution of all social events for the band and band boosters.
SUMMER BAND CAMP - This Team will assist its managers in planning and implementing the summer band camps, working directly with the Band Director(s) or their appointee. This Team needs to be established in May.
TRANSPORTATION/ EQUIPMENT - This Team will assist its managers in securing adequate transportation to move all instruments that cannot be transported with band members.
UNIFORM - This Team will assist its managers with the checking out and checking in of the uniforms as needed for events. The managers will also be responsible for selecting parents to assist with the cleaning of the uniforms. A washing and drying instruction sheet and laundering supplies will be provided to each parent who helps with the cleaning of the uniforms. The managers are also responsible for organizing the transportation of the uniforms as needed. The managers are also responsible for the distribution and collection of the plumes.
WATER - This Team will assist its managers in providing drinking water to the band at outdoor practices, exhibitions, festivals, during the third quarter of football games and at parades. This includes, if needed, icing the water down, and insuring transportation. The Team is also responsible for providing wet towels to the band during outdoor practices, including band camp, as directed by the Band Director. This Team is also responsible for laundering the towels.
REVENUE - This Team will assist its manager in development of fundraising activities, and prepares plans to be presented to the Board. The Team coordinates planning and assists with implementation of activities approved by the Executive Board, and encourages Band Booster participation. If there are no volunteers to assist with said fundraiser, it will be cancelled.
